Choose the product from the course, not the catalog
A 10K trail event and a mountain ultra should not receive the same default recommendation. Shorter groups may need a compact item or a small hydration solution. Longer groups can have more layers, water and mandatory equipment. Autumn or winter conditions can also change the carry list.
Before requesting a quote, collect the race distances, expected conditions, aid-station gaps, mandatory gear list and participant profile. This keeps the conversation focused on what the event requires. It also reduces the risk of paying for capacity or features that runners will not use.
Build a race identity runners can recognize
Race branding can come from the route, elevation profile, local terrain, a regional symbol or a color system that already belongs to the event. The aim is a clear connection to the race, not a crowded surface full of sponsor marks.
Send vector artwork when possible and identify every required logo, color and placement. Confirm which marks the event owns or has permission to use. Artwork approval should happen before production, and the final product should be checked against the approved file.
Plan quantities around distribution
Quantity planning starts with who receives the item. Is it included for every entrant, limited to one distance, sold as an optional add-on, given to volunteers or reserved for winners? Add a reasonable buffer only after the organizer has a clear registration and distribution plan.

Use a simple quality and delivery gate

If the delivery date is immovable, work backward from the date the organizer needs the goods in hand, not from race day. The event team still needs time to count, sort and distribute the order.
